We are a dynamic, growing financial firm that helps individuals protect their hard-earned assets and generate renewable income in their retirement years.
The Executive Assistant will maintain a welcoming office, perform a variety of office administrative functions, and coordinate marketing communications for support of existing and prospective clients.
This position will encompass the following:
Administrative Responsibilities This position requires front desk receptionist duties, including answering phones; screening and directing requests; and a variety of administrative duties.
Strong organization and customer service skills are required.
Maintain a welcoming and orderly reception area, greeting clients in-person.
Coordinate sending of cards, sympathy/celebration gifts, and marketing materials as needed.
Provide support for all projects and daily tasks, including copying and preparation of needed documents, forms, and contracts.
Assign action items to appropriate staff for follow-up in the company database following advisor meetings.
Enter information into database for new prospective clients.
Prepare materials needed for programs, events, trade shows, and conferences.
Process all incoming/outgoing mail and distribute accordingly.
Prepare overnight deliveries and log them for future reference.
Inventory and order all office supplies as needed.
Maintain office equipment and contacts for general office repairs.
Coordinate office cleaning activities and maintain office in presentable fashion.
File all hard-copy documents and reports necessary to maintain a permanent file.
Follow up on task list daily through database management and other established systems.
Schedule travel, appointments and meetings.
Sales/Marketing Responsibilities Schedule and confirm appointments.
Prepare files for prospective client appointments for the advisor(s).
Prepare and include clients to drip campaign.
Coordinate all marketing advertising, including website, email, social media, and video.
Create and maintain appointment activity/event in online metrics.
Assist with off-site events as needed.
Oversee all administrative aspects of seminar prep including registrations; confirmations; certificates; badges and evaluations; and mailing of materials to seminar site when needed.
Qualifications & Skills Must have strong communication skills, both written and verbal, including excellent grammar and composition.
Must possess customer service and time management skills.
Three years of office experience in a related financial, clerical, administrative, or business field.
Ability to establish and maintain positive relationships with existing and potential clients.
Self-motivated and able to complete job functions without supervision.
Entrepreneurial spirit and ambition to help build a client base.
Candidate should possess excellent computer and technological skills, including all Microsoft Office programs.
CRM experience preferred.
Experience in the use of standard office equipment.
This is a full-time salaried position ($20-$23 per hour based on experience), in addition to bonus opportunities.
